When we were first contacted by PE Systems we found the service that they provide intriguing, but we weren’t convinced that it would be a good fit for our University. Although they said, and had written into their contract that there was no cost involved if they didn’t save us money, we still were a bit hesitant. In the end, because of the way their contract is written, we were confident that we were protected and we decided to move forward with their service.

This letter is in reference to the services offered by PE Systems Corporation. PE Systems approached us with a plan to lower our overall payment (credit and debit) card fees. They offered to analyze the fees that MSU was paying to accept payment cards and then work with our processor to correct any problems. Their fee would be a portion of the realized savings. Given the high volume and diverse nature of our payment card activity, we felt this arrangement had strong potential with little risk. In retrospect, the savings would not have occurred without their efforts.

Before proceeding, however, University policy requires a competitive bid process. We could find no other companies that offered this service. PE Systems is the only company that works directly for the merchant and has no affiliations with any particular bank or processor. Their unique fee structure of getting paid only if successful reiterates this fact. In addition, at not cost to MSU, PES prepared a discovery analysis, identifying areas that could be improved, and presented the potential cost savings to MSU. We knew exactly what we were agreeing to before signing the contract.

In addition to the financial results, PE Systems personnel are very knowledgeable and always extremely tactful in dealing with our processor and our staff. They continue to monitor our fees and inform us of which areas could benefit by correcting operator errors or changing office procedures. PE Systems identifies and clearly explains the steps that MSU personnel can take in order to ensure that we are doing all we can to keep our fees to a minimum. Furthermore, PE Systems is a good resource for ongoing payment card questions and issues.

Having been approached by “cost savings” businesses in the past, I was quite reluctant of their ability to save RPDE money, but I must say that after going through the process, I have been VERY IMPRESSED with PE Systems. From dealing with Brendon Hill (Business Development) from his initial cold call, through their detailed presentation explaining how RPDE’s credit card fees worked and what PE Systems could do to reduce the fees, to the detailed and easy to follow statements showing the savings (which they also walk through for you) to ongoing professional customer support with Sheri Riley (Account Manager), the entire process has been outstanding. PE Systems has not only saved RPDE money, but they have become a partner and advisor to our company (in credit card processing setup) as we take on new ventures to grow our business.

Even before RPDE signed the contract with PE Systems we tried to do due diligence and compare their service with other entities that were offering to do the same, but we found that there were no other companies that were in the same business of working directly for us, doing all of the work, and having a fee that was completely performance based. Profit Enhancement Systems (PE Systems) has completed an analysis of the administrative cost of The University of Texas at Austin’s credit card program. Throughout the term of their engagement, the PE Systems personnel were professional, courteous, and required minimal assistance from the university staff beyond collecting the base data to be analyzed. The work has been performed by PE Systems on a successful efforts basis; whereby PE Systems would have been compensated from realized savings as a result of their recommendations.

PE Systems’ work product was found to be complete, insightful, and was presented in a fashion that could easily be understood by individuals with little background in the economics of credit card processing. Due to major changes underway with respect to the credit card acceptance policy by the University, the savings opportunities identified by PE Systems were not implemented. Had the University continued with the credit card program as structured at the time PE Systems made their analysis, we almost certainly would have implemented a number of their findings and recommendations.

I would highly recommend PE Systems to organizations exploring opportunities to better manage the costs of their credit card program.
